ROLE AND RESPONSIBILITIES
The role of the Allocations & Admin Supervisor is to ensure all driving duties are allocated efficiently and to conduct administration tasks as directed by the Regional Operations Manager.
Specific daily/weekly tasks are responsibilities are:
- Complete forward duty allocations ensuring all duties are covered.
- Use all available staff to ensure all duties are covered.
- Manage the use of agency drivers efficiently.
- Post the daily run out sheets.
- Consult with schedules to ensure all duties are correct.
- Consult with the Duty Manager to cover any private hire, rail replacement or other work as required.
- Monitor driver's hours compliance and report all breaches.
- Ensure all duties are loaded in accordance with school days, and non-schooldays.
- Create rotas for bank holidays and non-schooldays when required.
- Allocate drivers to rotas.
- Work closely with the duty controller to ensure all duties are covered and staff lost mileage is minimised.
- Allocate drivers work efficiently.
- Manage drivers' holiday, ensuring an even number of drivers are on holiday at one time, and ensuring all drivers take their annual entitlement.
- Monitor driver absence/sickness, work with the controllers to ensure all drivers have a return-to-work interview on the day they return.
- Complete weekly driver pay on Mondays and sent to payroll.
- Maintain a record of agency hours and send to the relevant agency on Mondays.
- Reconcile daily revenue and undertake investigations into drivers paying short and or ticket annulments.
- Maintain the CDP machine.
- Supervise the cash collection, send collection receipts and report missed collections.
- Conduct investigation as required.
- Complete daily/weekly/monthly reports as required.
- Report driver's numbers and vacancies to the Regional Operations Manager weekly.
- Conduct all tasks/administration as directed.
- Consult with Surry County Council, TFL and other contract holders concerning road works, diversions etc.
- Publicise diversions, road works, route changes in a timely manner.
- Consult with recruitment and provide and update on vacancies.
- Enter new drivers details into Omnidas and assign to a rota.
- Arrange route learning for new and existing drivers as required.

- To promote and implement Injury Prevention measures and safe working practices by means of campaigns/initiatives and to promote a positive attitude to safety through your own personal leadership.
Environmental Responsibilities
- To encourage colleagues to report leaks and spillages promptly.
- To ensure that waste is segregated appropriately to maximize recycling and that lighting and heating in the depot and offices is used efficiently.
Skills, Experience and Qualifications Required
- Previous duty allocations experience advantageous.
- PC literate.
- Competent in Microsoft Word, Excel, Outlook, and PowerPoint.
- Flexible.
- Knowledge of Domestic & European driving hours.
- Numeracy skills.
- Leadership skills.
- Excellent communications both verbal and written.
