Job title:                            Fleet Co-ordinator North West

Reporting to:                    Engineering Manager

Location:                          North West Region depots.

In-Direct Reports:            Fleet Engineers

Direct Reports:                  None.

Basic Purpose of Role

  • Reporting to the Engineering Manager, the focus will be to demonstrate excellent administration support for the Engineering Team ensuring the Freeway system is continually updated and any maintenance and fleet records are current and up to date.

Main Duties

  • Ensure all engineering and safety records are correctly processed and filed in accordance with Company procedures.
  • Identify any areas of concern relating to Freeway, engineering records, procedures and personnel and report them to the Engineering Manager if unable to resolve them through the Engineering Managers. Examples include cleaning performance and job time sheet completion.
  • Provide support to the Engineering Manager for note taking and any other ad hoc requests such as disciplinary and grievance meetings.
  • Liaise with the operation/commercial team on issues relevant to the Fleet provision.
  • Ensure that the regional engineering pay, and sickness data is accurately recorded and communicated to payroll in a timely manner.
  • Support engagement with the depot engineering team, including Skilled and non-skilled roles, engineering supervisors and Stores personnel utilising Freeway.
  • Undertake any additional administrative tasks within your skills and capabilities.
  • To work in accordance with Rotala policies, standard operating procedures, and all relevant legislation.
  • To deliver any agreed key performance indicators.
  • To ensure a positive working relationships between the Business and key Stakeholders.

Special Working Conditions

  • Deemed to be a “key position” under the working time regulations.
  • Ability to travel across the operating area.
  • Ability to work shifts across the whole week aligned to the operating hours and needs of the business.

  • To ensure that risk assessments are carried out for areas and activities under your control, so that appropriate control measures are implemented.
  • To report incidents, near misses and dangerous occurrences in a timely manner and ensure effective remedial action is taken where required.
  • To promote and implement Injury Prevention measures and safe working practices by means of campaigns/initiatives and to promote a positive attitude to safety through your own personal leadership.

Environmental Responsibilities

  • To encourage colleagues to drive more fuel efficiently.
  • To encourage colleagues to report leaks and spillages promptly.
  • To ensure that waste is segregated appropriately to maximize recycling and that lighting and heating in the depot and offices is used efficiently.

Skills, Experience and Qualifications Required

  • Excellent communication and interpersonal skills.
  • Great time management ability.
  • Strong Operational background.
  • Computer skills with essential organisational aptitude.
  • Self-reliant and straightforward communicator with skill sets to promote the customer facing business, in a positive light with the capacity to inspire in a structured and encouraging way.
  • The role will require the successful candidate to attend regular face to face review meetings, so a professional manner, can-do attitude and good communication skills are a must.
